How do I edit Project Settings?

  • To edit a Project, just click the Project you want to edit and then the cog/gear icon (⚙️) at the top right of the Project page to edit your project's settings.

🚨 Caution! deleting a project will delete all the Rounds and Sessions within the project.

What is a Round?

  • The organizational structure on Lookback's platform is:

    Lookback organization ➡️ Project ➡️ Round ➡️ Session

    So a Round is the iterative, organizational layer. All sessions with participants generated from the same participant link will be listed in the Round associated with that link. Let's say you're doing a project where you test three different scenarios within a project, you would typically create three rounds which means you'll have three different participant links. Perhaps you want to separate certain participant based on demographics or something else, just create additional rounds according to your needs. The conditions/messaging/instructions of a test is set in Rounds settings.

Does each Round have its own Participant link and Observer Lobby link?

  • Participant links and Observer Lobby links are unique for each Round within Lookback

  • Interview, SelfTest, and Tasks Rounds will have:

    • A Participant Link

    • An Observer Lobby link

  • LiveShare Rounds will have:

    • A Participant Link

    • An Observer Lobby link

    • A Start In-Person link & QR Code (In-Person is not currently supported on our extension-free beta experience for desktop)

🚀 A unique interview room is created for each participant clicking on a Participant link, so you never have to worry about participants interfering with one another. In other words, one participant link used by multiple participants will create a separate session for each participant but they'll all end up in the same Round

How do I edit the settings of a Round?

  • To edit a Round, click the Edit beside the relevant round and it will take you to the Rounds set-up. Remember to click the Save button at the top right after making changes.

How do I duplicate/clone a Round?

  • To duplicate a Round:

    1. Click into the relevant Project

    2. Click the menu icon (three dots) beside the relevant Round

    3. Click Duplicate round...

    4. Finally, click the Duplicate Round button to confirm

Duplicating a Round will only duplicate the settings and content of the Round; it will not duplicate the sessions within the original Round.

How do I delete a Round?

  • To delete a Round:

    1. Click into the relevant Project

    2. Click the menu icon (three dots) beside the relevant Round

    3. Click Delete round...

    4. Finally, click the Delete Round button to confirm

🚨 Caution! Deleting a Round will delete all the sessions/recordings within the Round.

What is a session?

  • This help article goes into more detail, but essentially a session is defined as 1 recording with 1 participant

How do I delete a session?

Sessions can be deleted individually or in bulk from the Project dashboard view or the Sessions view ("Play" icon on the left side). They can also be deleted individually from the Player while you're watching/reviewing a session.

  1. If you're in the Project dashboard or Sessions view:

    1. Check the box next to the session(s) you wish to delete

    2. Click the menu icon (3 dots)

    3. Click Delete

    4. Confirm deletion

  2. If you're in the Player watching a session:

    1. Click the ' i ' (information) icon in the top right corner

    2. Click Delete session

    3. Confirm deletion

🚨 Caution! Any highlights associated with the session will also be deleted when you delete a session.

How do I download sessions/recordings, highlights, notes, etc.?

Downloading sessions and exporting session feeds is available on our Freelance, Team, Insights Hub, Enterprise, and Pro (legacy) plans. It is not available on our free Trial or Starter (legacy) plans.

If I'm on a session-based plan (Freelance, Team, or Insights Hub), will any unused sessions carry over to the next year?

  • No, session counts reset will reset on your renewal date. We do not have plans to allow for session roll over at this time.

How can I purchase more sessions?

  • We don't currently have a way to only purchase additional sessions, but if you need more sessions, you can always upgrade to a larger plan with more sessions. When you upgrade:

    • You'll be credited for what you've already paid & you'll only be required to pay a portion of the difference between the two plans. The exact amount of that difference will be determined at checkout by how much time is left on your subscription.

    • The change will take effect immediately after upgrading

    • You will immediately receive the difference in sessions between the two plans. For example: if you upgrade from the Team 100 plan to the Team 150 plan, you will receive an additional 50 sessions to use through the end of your current subscription period.

    • Your renewal date will not change

    • When your plan does renew next, it will renew as the new plan. For example: if you upgrade from the Team 100 plan to the Team 150 plan, you will renew as the Team 150 plan at your next renewal
