Having colleagues or stakeholders observe a LiveShare or Interview is a great way for them to hear user feedback and understand their experience of your product, first hand! Or, it can even be helpful to just invite a colleague to take notes during your session while you moderate so you can concentrate on the participant.
There are 3 different ways to invite observers, depending on what type of plan/subscription you are on and whether or not they are external stakeholders.
Jump to:
1. Inviting someone to observe a session by adding them to your Lookback Organization as a Collaborator member
Available on the following plans: Team, Insights Hub, Enterprise, Starter (legacy), & Pro (legacy)
In order to use this method, you need to add team members before you start any remote or in-person LiveShares. This help article explains how to invite new team members if you haven't already done so. Note: make sure they accept your invitation and finish signing up in advance of the actual session.
Once you've added someone to the 'Members' page in your Lookback organization, you can go ahead and send them a link to observe the session.
Here's how:
Click into your specific project
Click the Invite to Remote button or Start In-Person button next to the relevant Round you want to invite your observers to
Copy the link under Invite your team to join you
Share the link with your team members you want to invite to the session via email, Slack, etc. Be sure to include any other relevant details (e.g. date and time of the session, tips on observing live sessions, etc.)
On the day of the session, the Lookback member copies and pastes this link in their Google Chrome browser on a desktop or laptop. They may be prompted to log in if they aren't already, and then they will be taken directly to a list of sessions when they log in.
Pro tip! Anyone who is a Collaborator can join a LiveShare or Interview session, but the person acting as Moderator needs to be the one who clicks 'Start Moderating'. Anyone else joining as an observer should wait for the moderator to start. Once the moderator has started the session, all observers will automatically join the session with the moderator and participant.
2. Inviting someone to observe a single session using public links
Available on the following plans: all plans
By using Public Links, you can invite external stakeholders or anyone who you don't want to add as a user to your Lookback organization. Using this method, they will be able to see and hear the conversation between the moderator and participant. In addition, they will also be able to take notes and chat with the moderator and any other observers in the session.
Please note: Public Links can only be generated after a session has started. You'll want to make sure you plan for this ahead of time to minimize any interruptions or down time. You can also use Public Links to invite someone to review a single session after it has finished.
To generate a public link from a session (the process is the same whether it's live or after it has finished):
Click on the "Share" icon in the upper right-hand corner of the session feed
Click Create Public Link
Hover over the link and click the "Copy" icon
Share the Public Link with your observer via email, Slack, etc. You'll also want to share the following instructions with them for using the Public Link
For the Observer:
Click the Public Link URL you received from the Moderator
You'll be presented with two options
Once logged in you will have access to a limited version of the Player where you can take part in research in that particular session only.
3. Inviting someone to observe a session by inviting them to join your Lookback organization as an Observer
Available on the following plans: Enterprise, Starter (legacy), and Pro (legacy)
The Observer role is a special role on Enterprise and legacy plans only and has limited permissions. You can learn more about the Observer role in this help article.
Using this method is similar to the first method where you're inviting them to be a Collaborator in your Lookback organization. The only difference is, you are not assigning them a Collaborator license; they are only able to observe sessions.
In order to use this method, you need to add team members before you start any remote or in-person LiveShares. This help article explains how to invite new team members if you haven't already done so. Note: make sure they accept your invitation and finish signing up in advance of the actual session.
Once you've added someone to the 'Members' page in your Lookback organization, you can go ahead and send them a link to observe the session as described in section 1 above.
