Running a Live Session: Moderator Checklist

A practical checklist to help moderators prepare, run, and wrap up live (moderated) sessions in Lookback with confidence and consistency.

This checklist is designed for LiveShare and Interview sessions.

Use it before, during, and immediately after a live session to reduce risk, improve data quality, and keep the focus on research - not logistics.


Before the session

Study setup

  • Correct Round type selected (LiveShare or Interview)

  • Landing page / prototype URL loads correctly

  • Instructions and welcome message reviewed

  • Session length aligns with your plan and research goals

  • Session counting rules understood (thresholds and duration)

Technical readiness

  • Moderator using Chrome or Edge

  • Camera and microphone tested

  • Stable internet connection (recommended bandwidth met)

Participant readiness

  • Participant device requirements confirmed

  • App requirement explained (mobile LiveShare = Participate app)

  • Participant PreCheck completed (recommended for LiveShare)

Observer readiness

  • Observer Lobby link shared (if applicable)

  • Stakeholders reminded they are safely silent and invisible observers

  • Observer expectations set (chat for comments, have fun)

Dry run

  • Preview Session completed

  • Backup plan ready (reschedule or switch method if needed)


At session start

  • Participant has successfully joined

  • Audio is clear (no echo or feedback)

  • Screen is visible (LiveShare)

  • Observers are connected (if applicable)

Moderator opening checklist

  • Introduce yourself and the purpose of the session

  • Reassure the participant (“We’re testing the product, not you”)

  • Confirm permission to record

  • Remind participant to think out loud


During the session

Moderation

  • Follow the discussion guide, but stay flexible

  • Ask neutral, open-ended questions

  • Let participants explore before intervening

  • Gently prompt if the participant goes quiet

Observation & capture

  • Watch behavior, not just task completion

  • Capture notes in real time

  • Mark important moments (Eureka / notes)

  • Monitor observer chat for relevant prompts

Session hygiene

  • Avoid leading the participant

  • Avoid explaining or defending the design

  • Keep an eye on time without rushing


If something goes wrong

  • Participant disconnects:

    • Ask them to reconnect on the same device

    • Reconnect within the 2-hour window to avoid creating a new Session

  • Audio or screen issues:

    • Pause briefly and troubleshoot

    • Decide quickly whether to continue, restart, or reschedule

  • Prototype or site fails:

    • Note the issue

    • Adapt link if possible


Ending the session

  • Ask final open-ended questions

  • Invite any last thoughts or feedback

  • Thank the participant sincerely

  • End the session cleanly

Once ended:

  • the recording is immediately available

  • findings can be created right away

  • observers can continue reviewing asynchronously


Immediately after the session

  • Add quick clarifying notes while context is fresh

  • Create initial Findings from key moments

  • Flag sessions for follow-up if needed

  • Share highlights with stakeholders if appropriate
